Migration playbook

  1. Step 1

    Practice scope and AI policy review (week 1)

    We map current Splose practitioners, services, NDIS-funded clients, and Medicare/DVA workflows. AI policy is reviewed up front — clinical bodies will move to AES-256 encrypted fields excluded from external AI; structural metadata will continue to drive AI drafting.

  2. Step 2

    Patient → Person migration (weeks 1–2)

    Splose exports patients, appointments, episodes, clinical notes, invoices, and NDIS-funded billing as CSV. Patients shared across multiple funders collapse to one Person record. Encrypted clinical notes import to AES-256 clinical fields.

  3. Step 3

    Funder workflows go live (weeks 2–3)

    Medicare CDM/EPC, MHCP, DVA, HICAPS, NDIS plan-managed and self-managed episodes, HealthLink secure messaging, and My Health Record integrations cut over. AHPRA/SPA credential tracking imports with expiry dates so renewal sweeps continue uninterrupted.

  4. Step 4

    NDIS rostering and Practice Standards (weeks 3–4)

    For practices growing into NDIS provider work, SCHADS-aware roster, shift board, and Practice Standards evidence map to operational data already flowing through CareOS. Existing Splose access stays read-only for historic reference.

How long does switching from Splose take?
Allied-health-only practices typically reach go-live in three to four weeks. Practices adding NDIS provider rostering or aged care alongside allied health run six to eight weeks with phased program-by-program go-live.
Will encrypted clinical notes survive the migration?
Yes. Splose clinical notes import to AES-256 encrypted clinical fields in CareOS and remain hosted in Australia. From cutover, clinical bodies are excluded from external AI APIs by product contract.
Can we keep Medicare CDM/EPC and AHPRA / SPA tracking?
Yes. CDM/EPC referrals carry session-count rules and review-letter triggers; AHPRA and Speech Pathology Australia (SPA) credentials import with status, conditions, and renewal expiry so the renewal sweep continues uninterrupted from day one.
